Purpose

The authorized use of the Hope Fellowship Church (hereafter HFC) facilities, which are the property of our Lord and Savior Christ Jesus. As stewards of His property, we are held accountable to ensure His facilities are used in a manner that will bring Him glory.

Our Responsibilty

To allow authorized use of this campus and guidelines for safety during its use.

Your Responsibility

To follow the procedures and guidelines below.

Prerequisites

1. Only active members of Hope Fellowship Church can use or sponsor the use of the facility.

2. The facility will not be used for any purpose that is in opposition or contrary to Biblical doctrine, belief statement and bylaws (found on the HFC website).

3. Alcohol and drugs are prohibited on the premises.

4. The use of tobacco products are not allowed in the building and beneath the portico or within 25 feet of the building.
5. Grills cannot be used near the rear kitchen/patio area. The HVAC system will collect fumes and set off fire alarms.
6. If smoke alarms are activated during building use, applicant member is responsible for directing people to evacuate the building and direct people to the parking lot.
7. Once approved, the theme of the event cannot be changed or altered.

8. ONLY authorized HFC personnel shall operate the sound and/or video system.

9. Event organizers will furnish their own supplies for the event and not take from the church supplies.

10.Food may not be left behind in the refrigerator, freezer or in the cabinets.
11. When supervision of children is involved, it is critically important that an adequate number of adult workers are present at all times in all scenarios (a minimum of two adults). It is not permissible for a lone adult worker to be in a room with a lone child.

12. When in use, the children’s areas must be supervised at all times.

13. It is your responsibility to make sure that nobody is doing burn outs in the parking lot or driveway and that tobacco products are not used in or near the building or portico. If tobacco has been used on the premises all cigar/cigarettes must be picked up and disposed of in the trash.

14. The maximum number of people allowed in the facility at a given time is 450 people.

15. The applicant member is responsible to immediately report any damages and will be held liable for repairs.


Fees

1. Use of the facility: $500 (i.e. weddings, reunions, large fundraisers or gatherings, etc.) Fee to be determined by the Deacons based on specific facility need.

2. Audio-Visual System Technician: Fee charge will be determined based on need of equipment after being reviewed by the HFC AV technician. Standard fee- $100 Extra fees may be included in the event that you want livestream or visuals displayed.
 Payment can be made the day of the event.
3. Cleaning of the facility is the responsibility of the user. The HFC cleaning checklist must be completed and signed off by the active sponsoring member. HFC Custodial are available for hire. The standard fee is $150 unless otherwise determined. Final cost to be determined by custodial and payment arrangements to be made before the day of the event.

Procedure

1. Request for use of the facilities for events not directly related to our scheduled church ministries/outreach must be submitted to the HFC main office.

2. Applicants shall complete all forms for review and approval well in advance of the scheduled event (preferably a minimum of 30-days prior).

3. Once approved the applicant member will be contacted. A temporary key will be issued or arrangements will be made for a church attendant to be available during the event.

4. Adequate controls need to be in place to ensure appropriate behavior is adhered to throughout the entire property. This includes the parking lot and surrounding grounds.
5. After use of the facility, the applicant member is responsible to ensure the facility shall be cleaned (complete cleaning list) so remnants of the event are not evident, and the facility is presentable for the next scheduled event. It is especially important after a Saturday event that sanctuary seating is in place prior to the Sunday service. 

6. The facility shall be secured (locked) after the completion of the event.
7. The key shall be placed in the black box that is outside, on the wall between the front doors.
8. If a pickup is scheduled by a rental company the applicant is responsible for making arrangements.

FIRE SAFETY AND EMERGENCY PROTOCOL
1. Renters borrowing the facility must maintain proper egress regulations around facility, the requirements should be reviewed with the HFC church administrator.
2. Entry, exit and attic access points will be clear of obstructions.
3. Unused chairs will be stacked in areas designated by HFC staff.
4. If the Fire Alarm is activated everyone in the building MUST EXIT, this is non-negotiable. If the cause of the alarm is known and is not life threatening, Call 911 and let the dispatcher know and then evacuate the building.
5. Upon Evacuation remain calm and follow the diagrams near each entry way and fire alarm. Ensure that occupants are led away from the building at a safe distance and meet at the back corner of the parking lot. Leave space for emergency vehicles to pull up to the building.
6. Assign one person to sweep though building to check for any occupants (do not send anyone if there is an obvious threat to their life)
7. If there is a small fire that can be extinguished please use a fire extinguisher to put the fire out using the PASS technique
8. Make a “house keeping” announcement at pointing out all exits and restrooms

 - Aim nozzle at base of fire
-Squeeze trigger
-Sweep from side to side
*If fire is large or out of control, calmly evacuate facility. *
